OFFICE MANAGER, IMMIGRATION SECTION

 

The Australian High Commission is seeking to fill a vacancy for an Office Manager in the Immigration Section. The Office Manager will report to the Principal Migration Officer.

The position will be filled at the locally engaged employee (LEE) BB5, which has a salary range of PGK 79,239.00 – PGK 109,715.

Duty Statement

The successful applicant will be responsible for

  1. managing and allocating human, physical and IT resources to ensure that the office is placed to deliver visa and citizenship programs effectively and efficiently and within service standard timeframes.
  2. managing the office’s client service channels, including the handling of escalated difficult client enquiries.
  3. supervising staff and providing leadership on program management and client service issues.
  4. making and documenting lawful decisions on escalated visa applications in accordance with legislation and the DIAC Client Service Charter.
  5. providing input to the formulation of office policies, procedures and direction, and providing leadership on corporate governance issues.
  6. overseeing the administrative and financial management of the office and satellite offices, including the preparation of financial quarterly reports, budget forecasts, stock takes and audits.
  7. negotiating and liaising effectively with stakeholders, including DIAC onshore, satellite offices, other agencies, external organisations and clients.
  8. representing the Immigration Section at inter-departmental meetings and preparing complex correspondence and briefs.

Selection Criteria

  1. Demonstrated ability to lead, manage and develop staff
  2. A broad understanding of the legislation and policy of Australian Immigration and Citizenship
  3. Demonstrated ability in office and financial administration and management
  4. Strong research and analytical skills and the ability to apply them to complex policy, projects and issues in the workplace
  5. Demonstrated excellent client service skills, and demonstrated ability to liaise with a variety of stakeholders
  6. A high level of initiative in promoting continuous improvement in business processes and implementing change in the workplace
  7. A high level of ability in using resources (eg IT, documentation, people) effectively, efficiently and lawfully
