The Australian High Commission is seeking to recruit suitable applicants with relevant experience for the following positions within the Department of Immigration and Citizenship:


ADMINISTRATIVE OFFICER (BB2.1)

Duty Statement

  • Collect visa application fees, issue receipts and account for the daily takings within service standards;
  • Accurately register visa applications within service standards;
  • Respond to client enquiries in an efficient and timely manner, including explaining decisions and dealing with difficult clients;
  • Provide clients with relevant and accurate information in person, by telephone and email;
  • Create and handle files, including file movement, archiving and folioing;
  • Process incoming emails, faxes, mail, medicals and any other correspondence;
  • Support A-Based staff with the permanent caseload as required, including assisting with and scheduling interviews, informal interpreting as required, preparing correspondence, responding to enquiries and maintaining accurate case notes;
  • Visa evidencing and return of passports;
  • Under supervision, collect and analyse information for specific projects;
  • Schedule medical examinations to HOC and monitor incoming results;
  • Liaise with applicants, agents and other stakeholders, including staff at other DIAC offices, on visa processing and administrative matters;
  • Other administrative tasks and projects as required/directed.

Selection Criteria

  • Highly developed interpersonal skills and the ability to communicate and professionally to clients and staff at all the levels. Tok Pidgin language would be an advantage.
  • Demonstrate experience in administrative field, including processing and managing accurate records.
  • Demonstrated ability to work effectively with minimal supervision as a member of a small team. An appreciation of the importance of workplace diversity.
  • Demonstrated computer skills in a range of Microsoft software, including MS Word, MS Excel, and MS Outlook.

 
VISA DECISION MAKERS (BB3.1)

Duty Statement

  • Assess and decide temporary entry visa applications lodged in both Port Moresby and Honiara in accordance with daily allocations and service standards;
  • Manage pending temporary caseload in an efficient manner;
  • Undertake integrity checks and referrals as necessary;
  • Conduct and assist with interviews as required;
  • Make and document high quality, lawful decisions on temporary entry applications;
  • Prepare relevant correspondence and brief reports;
  • Respond to client enquiries in an efficient and timely manner, including explaining decisions and dealing with difficult clients;
  • Liaise with clients, including staff at other DIAC offices, on visa processing matters;
  • Undertake training of education, travel agents and other clients as required;
  • Contribute to the development of temporary entry policy;
  • Manage small projects in consultation with A-Based staff;
  • Prepare outgoing mail;
  • Create and handle files,
  • Under supervision, collect and analyse information for specific projects;
  • Other administrative tasks and projects as required/directed.

Selection Criteria

  1. Ability to interpret and apply complex rules or legislation.
  2. High level of personal organisational skills with an ability to set priorities and communicate effectively with colleagues and supervisors
  3. Highly developed written and oral communication skills to communicate effectively with clients and team members at all levels
  4. Demonstrated IT skills including use of MS Word, MS Excel, email and DIAC systems


PROGRAM MANAGER (BB4.1)

Duty Statement

  • Coordinate the registration, allocation, and management of visa processes.
  • Support visa processing officers in case management, legislative interpretation and escalation of cases in line with escalation guidelines.
  • Decision making on all visa types processed in the office
  • Develop and implement processes to ensure transparent and efficient visa processing occurs.
  • Coordinate communication with clients and AVAC on day to day matters.


Selection Criteria:

  1. Demonstrated working knowledge of DIAC processes and systems
  2. Sound knowledge of or the ability to, understand and interpret regulations and policy
  3. Highly developed written and oral communication skills to communicate effectively with clients and team members at all levels.
  4.  Strong organisational skills with an ability to direct teams and prioritise in a demanding workload with limited supervision.
  5. Demonstrated IT skills including use of MS Word, MS Excel, email and DIAC systems
